EHS CoordinatorSupporting Facility Management in admin and coordination tasks related to: purchasing orders, certification process follow-up (ISO & OHSAS), CAPEX and Budgets preparation, Corporate Responsibility initiatives and represents the single point of contact for Facility Management service providers and employees.
Office & Facilities Management tasks:
o Organises and assigns tasks to Reception and on-site service providers
o Tracks office supply inventory and issue supply orders
o Monitors office operations, badges& cafeteria systems and issue reports as needed.
o Coordinate employee bottles supply and distribution activities
o Assists in the preparation of department budgets and CAPEX
Purchasing order process
o Centralize Purchasing Order creation and follow up for General Services, Maintenance team and Facilities Management
o Support facility Management in search of new suppliers and tendering processes.
o Provide regular reporting of expenditures
Data Management & QEHS :
o Monitor and communicate deadlines for document revisions (i.e.: QEHS manual, QEHS policy, management review, etc.). Support teams on document revisions.
o Manage and keep alive the Click&Manage system, organize document structure in order to ensure best accessibility. Implement, populate and maintain all new modules of Click&Manage.
o Manage webpage on intranet, keeping it up to date and ensuring communication of information as requested by ISO and OHSAS standards.
o Coordination of internal audit program in accordance with ISO&OHSAS standards and requirements set by Quality and EHS managers.
o Support QEHS management on implementation and continuous improvement of the site environmental plan, keep contacts with key partners, organize and coordinate events in collaboration with EHS manager.
o Consolidate and communicate KPIs
o Support Facilities Management in the organization of events, EHS campaigns and Corporate Responsibility activities.
